The Need

For 25 years, IJM has pioneered the work to protect vulnerable people from violence. 9 out of 9 times in the last decade, IJM’s Justice System Strengthening Projects have reduced slavery and violence between 50 and 85% for very large populations of people in poverty. As we grow to expand our impact to protect 500 million people from violence by 2030, we are seeking a strong administratively gifted Sr. Coordinator, Global Finance Operations to support the CFO and the Global Finance leadership team and division by providing day to day clerical, project, and administrative support. This position is responsible for handling information requests and performing clerical functions such as calendar management, meeting support, travel arrangements, arranging conference calls, receiving visitors, and expense reporting to ensure Global Finance division leaders spend their work time and resources on non-administrative tasks. This position will represent the priorities and strategy of the division with internal and external stakeholders.

This position is based in the Washington, DC area and is available to be hybrid (onsite Tuesdays & Thursdays). It reports to the Chief Financial Officer and is only available for candidates with the right to work in the US.

Responsibilities:

Provide Executive Support to the Chief Finance Officer

  • Provide daily support to the Chief Finance Officer as necessary;

  • Equip the Chief Finance Officer to participate fully in meetings through comprehensive preparation and briefing;

  • Attend certain meetings with the Chief Finance Officer and follow up appropriately when necessary;

  • Monitor and maintain the Chief Finance Officer’s professional calendar and inbox;

  • Prepare preliminary materials to enable the Chief Finance Officer to meet important deadlines;

  • Provide full support to the Chief Finance Officer for national and international travels, including hotels, flights, per diem, etc.;

  • Provide deadlines for executive reporting requirements;

  • Facilitate the signing and notarization of various documents required of the CFO;

  • Support CFO in the gathering, organizing and formatting of FAAC pre-read materials; and

  • Attend FAAC meetings and provide support for presentations and take minutes.

Provide Administrative Support to Global Finance Division

  • Complete expense reports and payment requests in a timely manner for the Chief Finance Officer and division staff;

  • Submit invoices for payment for Finance leaders;

  • Disseminate mail to correct staff/department;

  • Take minutes during meetings, schedule follow-ups as necessary, record next steps and delegate responsibility of tasks;

  • Maintain awareness of Global Finance schedules or any major conflicts while coordinating cross-departmental meetings; and

  • Facilitate the engagement and onboarding of temporary hires, interns, contractors and new staff.

Project Management

  • Assist the Chief Finance Officer in managing and tracking both Global Finance and interdepartmental projects ensuring all deadlines are met within communicated timelines;

  • Manage the organization and distribution of IJM’s corporate card program;

  • Provide project support to the Workday Finance team by attending PMO meetings, submitting data for quarterly reporting to EPE Team, scheduling cross-regional meetings, gather required data for project completion; and

  • Manage IJM’s watchdog accounts and update each portal (Better Business Bureau, Charity Navigator, and Candid).

Communication

  • Organize quarterly team meetings to ensure updates are communicated on project progress, staffing, department needs and deadlines, as well as to foster team morale and unity;

  • Coordinate employee recognition for birthdays, life events, team achievements, etc.;

  • Disperse communications to both internal and external stakeholders on Global Finance processes, rollouts, initiatives and policies;

  • Manage the Global Finance department SharePoint sites; and

  • Send newsletter to Finance Team with news and updates.

Event Coordination

  • Plan and execute Global Finance celebrations and retreats;

  • Coordinate staff appreciation events and initiatives;

  • Assist in board meeting logistics and event planning; and

  • Assist in the travel, visas, hotel reservations, and meeting planning for departmental meetings.

Qualifications:

Education & Experience

  • At least 3 years of experience in providing top-level administrative support in a fast-paced, professional environment;

  • Bachelor’s degree in Business Administration or equivalent; and

  • Superior administrative capacity to manage many projects and tasks simultaneously and to complete them with minimal oversight.

  • Strong experience in basic project management and MS Office (including Word, Excel, PowerPoint, Outlook, SharePoint, etc.).
