Job Summary


Specialist II – Logistics and Trade Compliance is responsible to administer logistics and trade compliance function and its requirements to ensure highly efficient and effective cargo movement for Global Operations.



Principal Duties and Responsibilities



  • Administering the company’s import/export compliance program. Working with the Logistics and Trade Compliance group to ensure controls are in place that comply with the company’s legal and regulatory obligations. 

  • Providing assistance whatever it can be, emergency shipments, customs questions, missing supplier documents or information, to avoid the loss of time due to time difference between Australia and Europe, USA, Dubai, Brazil or Africa. 

  • Mobilize and manage internal and external logistics resources to ensure on-time and accurate deliveries of required materials at the lowest total cost. 

  • Monitoring worldwide Import / Export operations related to Australia and/or area of responsibility. 

  • Provide responsive logistics services for emergency situations. 

  • Manage world-class vendor relationship management practices for logistics providers. 

  • Identify inefficiencies and areas of growth within the current distribution network to continuously improve the balance between the level and cost of service. 

  • Manage and reduce logistics costs via freight rate benchmarks, freight consolidation opportunities, process flow reviews and assist with annual freight rate negotiations. 

  • Monitor market trends and freight/shipping indices; ensure company benefits adjustments in market pricing.  

  • Responsible for maintaining daily follow-up of Export & Import files and ensure efficient, cost-effective and timely delivery of the material to the final destinations.  

  • Control documents necessary for the importation and for exportation in the various countries (Invoices + Packing list + Certificates of origin etc) interfacing with freight forwarders/carriers.

  • Keep a close follow-up on all kinds of issues, mainly Customs and Tax exemption (N10A filing in Australia, aiding on accurate TCO – Tariff concession order numbers), Quarantine inspection, BMSB biosecurity requirements, RRA quarterly filing that agents and suppliers are facing. 

  • Aiding for special projects in terms of budgeting logistic costs, and clarifying procedures. 

  • Interfacing for all kinds of issues between forwarding agents/shipping agents/customs brokers/packers/carriers/rigs or area offices.

  • Auditing freight forwarders/customs agents/brokers regarding the record keeping of Customs Import and Export documents and their compliance with local regulations. 

  • Ensuring Customs rules and regulations are complied with by each supplier delivering equipment to freight forwarders for onward shipping.

  • Provide assistance and follow-up for all equipment Imported under the Temporary Importation Status within the area of responsibility.  

  • Assist Manager – Logistics and Trade Compliance in discussions about rates with freight forwarders, customs brokers & agents. 

  • Coordinate with the Trade Compliance department. and make sure that all equipment is 100% in line with Customs and Tax rules and regulations. 

  • Preparing the budgets for large or out-of-gauge shipments on request of the operations or the projects.

  • Administering the company’s import and export compliance program. 

  • Attending Operations meetings for planning purposes.

  • Weekly monitoring and execution of On Hand Reports with aligned OSD recovery and KPI measurements. 

  • Identify inefficiencies and areas of growth within the current distribution network to continuously improve the balance between the level and cost of service.

  • Conducting Monthly Governance Meetings with the Freight Forwarders.  

  • Performing Quarterly audits of the Intermediary Warehouse.

  • Audit of Australia Freight invoices. 

  • Monitoring and aiding freight forwarders on Hand Carry Procedures.

  • Expand the knowledge, and assistance on Asia Region for the customs, compliance, agent’s aid scope as and when required.


Qualifications and Experience



  • Bachelor’s degree required 

  • Minimum 2 years of logistics experience in oil and gas or freight forwarding preferred 


Skills and Experience



  • Be available and willing to travel within the area of responsibility and with such frequency as the employer determines is necessary or desirable to meet its business needs.  

  • Ability to gather and analyze/synthesize data, confirming its accuracy and adequacy as an integral part of the collective analysis/synthesis process.

  • Excellent written and verbal communication skills. 

  • Ability to communicate effectively across different levels of organization, and departments as well as across different cultures. 

  • Solid understanding of the legal aspect of Incoterms and trade compliance requirements of suppliers for import and export transactions.

  • Preferred knowledge of drilling equipment for offshore drilling environments, including knowledge of key suppliers, industry specifications and standards.

  • Ability to respond quickly and appropriately in a dynamic work environment.

  • Ability to multi-task and establish priorities. 

  • Good to have knowledge in Microsoft Excel at an advanced level (use financial and logical functions; work with multiple worksheets and workbooks; edit and use macros; import and export information).

  • Ability to manage different logistic projects at the same time and meet deadlines. 

  • Ability to obtain, compare, and discuss all kinds of transport and handling rates within the area of responsibility.  

  • Demonstrated negotiation skills with the ability to influence and effectively lead and resolve issues.

  • Maintain a flexible attitude and approach towards assignments and successfully operate under ambiguous guidelines.  

  • Work effectively as part of a team.
