has an opening in the Center for Global Engagement for an Administrative

The Administrative Assistant for
Global Engagement will field, screen, redirect, and respond to standard
inquiries; answer questions independently, serve as a reference for policies
and procedures; refer complex inquiries to others and maintain work area
ensuring a professional appearance. The position will draft routine
correspondence; assemble materials for complex reports; may coordinate
submission of articles; maintain list servs. Additionally, this position will provide
program/project support; assist in preparing materials; maintain
program/project calendars. The position will assist with programs/projects including
logistics and promotion, as well as provide support for ESL program.
The Administrative Assistant for
Global Engagement will set up and maintain filing system and maintain
databases; designs simple spreadsheets & materials from a variety of
information systems. Maintain and update pages within a content management
system according to pre-established schedules; make changes to the website as
directed. Working with and managing the Terredotta study abroad website and
software will be vital within this position. The position may update social
media pages; edit and add content to area support sites, course websites,
employee sites, and publications/newsletters; schedule appointments, meetings,
and locations within general guidelines using an electronic calendar; attend
meetings and prepare notes.
The position will monitor department
budget for expenses and balances; process charges and P-Card purchases, along
with simple and somewhat complex travel arrangements for employees/students;
prepare and submit travel reimbursements; review accuracy of assigned charges; order
supplies within guidelines.
Qualified candidates will have a high school diploma and two to three years of professional work
experience. Qualified candidates will have higher
education experience, excellent verbal and written communication skills, excellent
interpersonal and customer service skills, advanced skills in Microsoft Office
Suite or related software. Must be comfortable learning and adapting to new
processes and systems, excellent organizational skills and attention to detail.
Must have advanced understanding of clerical procedures and systems such as
recordkeeping and filing, along with the ability to work independently.
