Operations Assistant
As an Operations Assistant, you will be responsible for supporting the administrative functions of the operations team in the transportation and logistics industry. You will assist in maintaining accurate and up-to-date records, coordinating with various internal and external stakeholders, and ensuring compliance with company policies and procedures.
This role requires strong organizational skills, attention to detail, and the ability to work well under pressure in a fast-paced environment.
Duties and Responsibilities
- Assist in maintaining accurate and up-to-date records related to shipments, customer information, and other operational data.
- Enter shipment data into computer systems and ensure accurate record-keeping.
- Provide administrative support to the freight forwarding team, including answering phones, responding to emails, opening files, and filing documents.
- Assist with billing and invoicing processes, check vendor’s invoices, and approve or dispute them in case of rate discrepancies.
- Check internal billing and dispute the incorrect invoices using DSV’s tools and applications.
- Check and process CASS billing on monthly business, including but not limited to disputing the incorrect billing, approving invoices, check the rate discrepancy, etc.
- Assist in preparing and submitting reports to management.
- Support the operations team in other administrative tasks as needed.
- Ensure compliance with company policies and procedures.
- Other duties as assigned by the supervisor or upper management.
Educational background / Work experience
- Associate or bachelor’s degree in a relevant field such as business, logistics, or administration preferred.
- Minimum of 1 year of experience in an administrative support role, preferably in the transportation and logistics industry.
- Prior experience in freight forwarding, logistics, or a related field is preferred.
- Experience in air exports is highly desirable.
Skills & Competencies
- Ability to perform basic mathematical calculations, such as calculating costs and rates.
- Strong attention to detail and organizational skills.
- Excellent organizational and time management skills
- Excellent verbal and written communication skills.
- Strong communication and interpersonal skills.
- Ability to work in a fast-paced environment and manage multiple priorities.
Preferred Qualifications
- Understanding of logistics and supply chain operations.
- Experience working in a team environment.
Function / Market & Industry Knowledge / Business Acumen / Processes
- Knowledge of air freight logistics.
- Deep understanding of CASS system and billing system of non-CASS airlines.
Language skills
- Fluent in English (oral and written)
- Knowledge of additional languages is a plus.
Computer Literacy
- Proficiency in Microsoft Office, particularly Excel and Word.
- Proficiency in transportation management systems – CargoWise – is a must.
