Responsible for the coordination of processes required to invoice domestic and international parts sales orders for Distribution department. Assist other department resources in trouble shooting, problem solving and searching for opportunities to improve order entry, order execution, carrier processing, expediting and due date performance. Serve as a liaison between Customer Service, Trade Compliance, Domestic and International Corporate Logistics, Accounting and Distribution. This position reports to the Distribution Operations Leader.


Planning and Execution

Plan daily and weekly workload to ensure workload is dispersed and completed efficiently. Conduct weekly meetings to communicate invoicing status and coordinate problem solving action items. Monitor and use lean tools to identify and problem solve past due invoicing of sales orders, shipment errors, as well as domestic and customs documents. Provide shipment-tracking information and reasons for methods of shipments made and corresponding freight charges. Review and approve short forms and communicate instructions for shipment and invoicing of domestic and international orders to ensure regulations for hazardous materials 49-CFR (Ground), IATA (Air) and IMDG (Vessel) are followed. Ensure all hazardous operational procedures specific to invoicing are being followed and installed in daily operations. Responsible for all international trade compliance requirements for international shipments.


Domestic and International Invoicing

Enter freight lines and any other invoicing data into the ERP system. Obtain information needed and process international customs paperwork as needed which can include: International Trade Number (ITN), UN Number and Description, Canadian Customs form, Schedule B number (SED), Country of Origin, Electronic Export Information (EEI), SDS sheets, Multi Dangerous Goods form (IMO) and Invoice. Ensure all international requirements for trade are followed and implemented in daily operations for all countries.


Performance and Measurements

Monitor and problem solve multiple exception reports derived from shipment inclusion and exclusion parameters. Communicate errors to appropriate personnel to reduce opportunity of error recurring.


Training

Train all new hires the skills necessary to effectively invoice domestic and international shipments. Provide continuous training to all invoicing specialist.


Miscellaneous

Work with Customer Service department to determine methods of shipment for expedited shipments. Correspondence with freight carriers to resolve discrepancies between Accounting and Distribution invoices. Coordinate and schedule Full Truck Load (FTL)/ Less Than Truck Load (LTL)/ Full Container Load (FCL)/ Less Than Container Load (LCL) with Logistics for both domestic and international shipments. Perform other duties as assigned.


MINIMUM QUALIFICATIONS


2-4 years related experience

High school graduate or equivalent

Very little travel

Very little overnight stays


PREFERRED QUALIFICATIONS


Associate degree, along with two to four years of domestic/international invoicing experience. Personal computer skills to include the following applications: Microsoft Outlook, Lotus Notes, Excel, Word, Mapper, Share-Point, BaaN and SAP. Good communication skills and have an adherence to detail as the incumbent would deal with customs and border compliance. Hazardous Materials Certifications – 49 CFR, IATA, and IMDG.
