Job Overview
The Benefits Specialist provides support, administration and ensures compliance of all company benefit and leave of absence programs. Assists with the implementation of benefit initiatives and programs for the company to help attract, motivate and retain top talent.
Responsibilities
- Administer company health and welfare benefits programs including 401(k) retirement plan
- Participate in wellness strategy and execute wellness plan for organization including running reports and updating wellness flags for employee wellness discount
- Partner with carrier (Sun Life) to ensure FMLA and other LOA programs are administered in compliance with regulations as well as track all leaves and coordinate correct payments/wages owed with payroll
- Liaison between associates and benefit vendors to provide Sage associates with excellent customer service (i.e. answer benefit inquiries, provide necessary forms, process changes, life events etc.)
- Manage benefits shared inbox and develop/maintain benefits communications and enrollment reminders
- Follow-up with HR team members and employees in regards to pending elections, campaigns, etc.
- Coordinate with payroll to ensure accurate benefits deductions and necessary adjustments
- Assist with Transitions of different properties joining and leaving Sage
- Administer COBRA feeds and ensure compliance regulations are satisfied
- Update and maintain data in the HRIS and insurance vendor databases to ensure accurate and timely data transmittal
- Review weekly import/export files from carriers and research errors
- Coordinate annual open enrollment including: participation in renewal meetings, development and delivery of OE materials, partnership with the HRIS vendor for annual updates/corrections
- Coordinate benefits/401(k) audits in conjunction with 5500 filings and other reporting
- Perform all tasks associated with benefits billing including invoices charging properties for benefits and carrier bills including self bills
- Stay current on changing Federal and State regulations and legislation that may impact associate benefits
- Assist with the creation and maintenance of processes and procedures that are in place to capture and maintain consistent and accurate benefit related data through analysis and reporting
- Monitors plan limits, eligibility and other restrictions on plan participation to ensure compliance with both plan provisions and government requirements
Qualifications
Education/Formal Training
Bachelor’s degree or equivalent experience
Experience
2-3 years experience in HR
1 Year experience in benefits administration or specialization
Experience working with UKG or Plan Source is a plus
Knowledge/Skills
- Working knowledge of FMLA, ERISA, HIPAA, COBRA, and ACA
- Strong knowledge of Microsoft office, especially Excel
- Analytical ability to research and improve current systems and processes
- Bilingual is a plus
- Hearing required for telephone inquiries and client and associate handling
- Vision required as contracts and letters are handwritten, filing, and using computer
- Excellent speech communication skills necessary to communicate clearly with customers and associates
- Excellent attention to detail and multi-tasking skills
- Strong ability to maintain confidentiality of sensitive information
